PTO Office Procedures

The office would really like to help make procedures run smoothly between all PTO members and school personnel. Therefore, we have created “PTO General Office Procedures”. If you ever need help or have questions, please contact the office and you can speak with Mrs. Patti Czarnik or Mrs. Teresa Sepulveda.

Working in the school

All PTO members must sign in and wear a Visitors Pass (bright green lanyard behind Mrs. Sepulveda’s desk). The workroom is available for your needs. Student safety is our top priority and “Visitors” are not allowed to walk through hallways or “visit” staff.

HANDOUTS/FLYERS

Any type of flyer, notice or reminder that is going home with students must first be emailed to Mrs. Esser, for approval, cc: Mrs. Sepulveda and Mrs. Czarnik. Please do not put anything in teachers’ mailboxes until it has been approved. Once approved, please put one copy of all handouts in every staff members mailbox, not just in the classroom teacher’s mailboxes.

PTO DRAWERS

We recommend that you please check the PTO drawers which are located by Mrs. Czarnik’s desk. Depending on the event going on, the drawers will be labeled. Any forms or envelopes that must be returned to PTO will be placed in this drawer. We suggest that you please check the drawers often. When that event is done, we will take the label off.

MAILBOXES

PTO has mailboxes in the workroom. We recommend that these be checked frequently. Any faxes, mail, phone messages will be placed in the mailboxes.

KEY TO STORAGE ROOM

Please ask either secretary for the key. When you are done, the door to the storage room must be locked right away.  Please return the key to the office right away!

PICTURES

We understand that pictures are taken during school events for the yearbook, but please remember some students cannot get photographed. Always check with the office before any photographs are being taken.

COPIES

You are welcome to make copies at school for school related jobs only. Copies, faxes or laminating pertaining to other clubs or organizations are not permitted. We suggest that you call the office ahead of time to check times to use office equipment.

E-MAILING STAFF

Please feel free to e-mail staff with directions or instructions pertaining to events or fundraisers when they need to get information to parents and students. If you do send an e-mail, please cc Mrs. Esser and the secretaries so that we can answer staff questions or contact you directly with questions since staff are busy teaching.

FOOD

With the number of food allergies and sensitivities, please do not bring in food during the school day that has not been pre-approved by the nurse. Also, at events sponsored by the PTO during non-school hours, please make sure parents are made aware of the types of food served so that they can be prepared if their child is allergic to certain foods, including but not limited to all types of nuts (especially peanuts).

TRANSLATIONS

Please give us sufficient notice so that translator can plan accordingly for PTO translations. Please e-mail any document that needs translation to Mrs. Esser and Teresa Sepulveda, the head secretary. When translations are complete, they will be e-mailed to you. If the document is lengthy or changing significantly from a previous version, then we must send it to the district translator and it takes 1-2 weeks to receive the document, so please plan accordingly.
